The Onboarding Checklist: What Every Stylist Needs Before Renting a Chair

The checklist nobody gives you

When I rented at my in-between space, the onboarding took weeks of emails and phone calls. Half the forms didn’t work. Information was scattered across platforms. It was frustrating — and I’m someone who’s been doing this for 20 years.

I built the Clubhouse’s onboarding to be the opposite. Here’s exactly what you need, and exactly how we handle it.

1. New York State license

You need a valid NYS cosmetology or barber license. No exceptions. If yours is expiring soon, renew it before you apply. We verify it during onboarding — it’s the first gate.

What you need: A current, unexpired license number. If you’re transferring from another state, start that process now — it can take weeks.

2. Liability insurance

Professional liability insurance protects you and your clients. It’s non-negotiable for independent rental. If you don’t have it yet, it’s affordable and fast to set up online.

What you need: An active policy or certificate of insurance. We’ll verify it alongside your license.

3. Square account for payments and deposits

We handle everything through Square ACH — deposits, payments, the works. If you don’t have a Square account, set one up. It’s free to start and takes about 10 minutes.

What you need: An active Square account linked to your bank. We’ll use it for your security deposit and ongoing payments.

4. Your calendar and pricing

Once you’re approved and onboarded, you set your own calendar and your own prices. This is your business. I don’t tell you what to charge or when to work. You book your own clients through your own system.

What you need: A booking system (Square appointments, Vagaro, or whatever you prefer). Your price list. Your availability.

5. Your Instagram and portfolio

Before you apply, make sure your Instagram represents your work well. It’s how I get a sense of who you are and what you do. You don’t need 50K followers — you need a feed that shows you care about your craft.

How the Clubhouse process works

  1. You apply online — name, email, Instagram, experience, current pricing, what you’re looking for.
  2. I review and reach out — personally, not an automated email.
  3. You tour the space — see the studio, feel the vibe, ask questions.
  4. We onboard — license, insurance, and deposit through Square ACH. Clean and fast.
  5. You start — book your calendar, set your prices, build your business.

No email chains. No broken forms. No weeks of back-and-forth.
